The guidance focuses on a common gap between record retention and examination readiness. A firm may have completed the required compliance work, but if policies, approvals, trade records, delivery evidence, and business communications are scattered across shared drives, spreadsheets, inboxes, or personal devices, producing a clear paper trail can become a time-consuming reconstruction effort.

The central takeaway is straightforward: exam readiness depends not only on keeping required records, but also on retrieving complete, current documentation when an examiner asks.

“Doing the compliance work is only half the job,” said Blake Bjordahl, President of RIA Compliance Technology. “When an examiner asks, the firm also has to be able to put its hands on the right record quickly. That is where good organization matters.”

For small and mid-sized RIAs with lean compliance teams, recordkeeping gaps often develop gradually. A policy may be stored in one place, its approval history somewhere else, and related correspondence in a separate system. Each part may appear manageable on its own. The difficulty becomes clear when the firm needs to assemble a complete response.

Off-channel communications are a common example. A client conversation that begins through an approved channel may continue by text, social media, or another platform that is not captured in the firm’s archive. The rest of the firm’s documentation may be in order, but the communication record can still be incomplete.

The guidance notes that shifts in enforcement emphasis do not remove an RIA’s obligation to retain required written business communications. Exam readiness depends on maintaining those records as part of normal operations, not trying to recover them after an examination request arrives.

An exam-ready compliance record should show that the work was done and make the supporting evidence easy to locate. A current policy, for example, is not enough if the firm cannot also find its review history. The same principle applies across the compliance program. Required records should be maintained in a way that allows the firm to produce them without retracing its steps.

This does not require forcing every record into one application. What matters is having a dependable process that keeps information from disappearing between systems or needing to be rebuilt later.

“Exam readiness really comes down to consistency,” Bjordahl added. “If the record is maintained as the work happens, the firm is in a much better position when a request comes in. You are retrieving what is already there instead of rebuilding the story afterward.”
